Office Manager — Accounts Payable & Receivable

Position Overview

A growing residential development and construction company in Brandon, MS, is seeking a detail-oriented and self-sufficient Office Manager to oversee day-to-day accounts payable and accounts receivable functions while supporting general office operations.

This is an excellent opportunity for an experienced accounting professional who is comfortable working independently, managing deadlines, and working directly with company leadership. Construction, real estate, development, or home-building experience is preferred.

Key Responsibilities

  • Process weekly accounts payable, including collecting and verifying contractor and vendor invoices.

  • Prepare payments for leadership review and approval.

  • Maintain accurate AP records in QuickBooks Online.

  • Manage accounts receivable, including tracking incoming payments and following up on outstanding balances.

  • Prepare bank deposits and assist with monthly bank reconciliations.

  • Maintain accurate QuickBooks Online entries and coordinate with the bookkeeper as needed.

  • Manage day-to-day office operations, including supplies, mail, incoming calls, and equipment/vendor coordination.

  • Provide administrative and accounting support to company leadership.

  • Proactively identify discrepancies, missing documentation, and cash-timing concerns.

  • Maintain confidentiality when handling financial and company information.

  • Perform other related office and administrative duties as assigned.

 

Qualifications

  • High school diploma required; Associate's or Bachelor's degree is a plus.

  • 2+ years of hands-on accounts payable/accounts receivable experience required; 3+ years preferred.

  • Proficiency with QuickBooks, preferably QuickBooks Online.

  • Strong working knowledge of Microsoft 365, particularly Excel and Word.

  • Construction, real estate, development, or home-building experience preferred.

  • Strong organizational skills and the ability to manage a high volume of transactions while meeting weekly deadlines.

  • Excellent attention to detail with the ability to identify and resolve discrepancies.

  • Ability to quickly learn established procedures and work independently after initial training.

  • Strong communication and interpersonal skills with a professional, team-oriented approach.

  • Ability to work comfortably with company leadership, vendors, and outside partners.

  • Ability to handle confidential financial information with discretion.

  • Ability to lift and move office supply deliveries weighing up to approximately 25 pounds.

The ideal candidate is organized, dependable, detail-oriented, and proactive. You should be comfortable taking ownership of your responsibilities, catching potential issues before they become problems, and keeping both the accounting and office functions running smoothly.

Compensation & Schedule

Salary: $50,000–$70,000 per year
Schedule: Monday–Friday, Full-Time, On-Site
