Role Description
As a Legal Secretary, your main responsibilities will include answering phone calls, scheduling appointments, organizing documents, and filing. You will also be responsible for making travel arrangements and opening new business matters in our system. Additionally, you will assist with entering attorney billable time, reviewing bills, and working with accounting to process billing. Proofreading and revising various legal documents will be part of your role, as well as assisting the supervising attorney with professional, civic, and community responsibilities. You will also maintain records of CLE hours and assist with reporting to the applicable bar association. In terms of real estate, you will handle tasks such as requesting title reports, tracking transactions, drafting court documents, proofing surveys, and handling post-closing responsibilities. Overall, you will be responsible for a variety of administrative tasks to support our legal team.
Qualifications
Minimum of 10 years experience in a law firm, real estate company, or bank setting, with a focus on real estate
Strong knowledge and understanding of real estate transactions, including funds received and disbursed through trust accounts
Experience working closely with attorneys and paralegals on real estate projects and closings
Excellent organizational skills and attention to detail
Proficient in computer operations, including operating various software and systems
Ability to work independently and prioritize tasks effectively
College degree is preferred
Ability to sit for long periods of time while operating a computer
Mobility, including the ability to bend, lift, and carry files weighing approximately 10-15 lbs
Willingness to work beyond normal work hours when necessary, particularly during preparation for and conducting closings
