Job Summary:
We are seeking a detail-oriented and motivated individual for a Finance Administrator / Membership Coordinator with a local nonprofit. The ideal candidate will be skilled in QuickBooks (desktop) and Microsoft Excel, possess excellent writing and communication skills, and demonstrate strong organizational abilities. This role requires accuracy, initiative, and the ability to manage multiple priorities independently with minimal supervision.
Salary: $51,000
Key Responsibilities:
Finance & Accounting
Manage day-to-day bookkeeping functions, including accounts payable/receivable, reconciliations, and financial reporting in QuickBooks.
Process payroll, reconcile accounts, and prepare financial reports.
Assist with preparation of the annual budget and provide reports to the Board of Directors.
Provide information to the CPA for the annual financial review.
Manage financial transactions, including membership dues, special events, and continuing education activities.
Monitor and ensure all organizational insurance policies remain current.
Track and report changes from the U.S. Department of Labor.
Manage PAC contributions and reporting, including account reconciliation and Board/State submissions.
Membership Administration
Maintain the AMS membership database, processing new memberships, renewals, and updates.
Serve as the primary point of contact for membership questions and account updates.
Update membership records with ANA and calculate/remit ANA’s portion of dues.
Provide District Presidents with current membership lists, calculate and process quarterly district membership dues, and provide support as needed.
Convention & Events
Attend and support the annual convention (4–5 days, depending on dates), including set-up, on-site registration, attendee support, and gift distribution.
Represent the organization at select regional events across Mississippi as needed.
Administrative Support
Draft, proofread, and edit professional correspondence, reports, and other written materials.
Create and maintain spreadsheets in Microsoft Excel for budgeting, data tracking, and reporting.
Maintain accurate records to ensure compliance with organizational policies and procedures.
Provide administrative support to leadership and team members.
Qualifications:
Proficiency in QuickBooks (desktop).
Proficiency in Microsoft Word (including document merge).
Strong knowledge of Microsoft Excel, including formulas.
Excellent written communication skills with attention to grammar, clarity, and tone.
Strong organizational skills and ability to prioritize tasks effectively.
High level of accuracy and attention to detail.
Previous administrative, accounting, or finance experience preferred.
