Our client is seeking an experienced Administrative Coordinator to provide comprehensive administrative support and help ensure the efficient day-to-day operation of the office. This position will serve as a key point of contact for office visitors, customers, and vendors while supporting general office administration, basic accounting functions, marketing activities, and management.
The ideal candidate is highly organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment.
Salary: $42,000 - $45,000
Key Responsibilities
Office Administration
Answer and direct incoming telephone calls professionally and courteously.
Monitor the main office telephone line and ensure calls are appropriately routed.
Receive, sort, and distribute incoming mail.
Prepare and process outgoing mail and maintain adequate postage and shipping supplies.
Run local business errands as needed.
Maintain inventory of office, kitchen, and restroom supplies and place orders as needed.
Maintain an inventory of office, building, and vehicle keys.
Coordinate vehicle and trailer registration renewals.
Coordinate copier and printer maintenance and serve as the primary contact with equipment vendors.
Accounting & Financial Support
Process client payments accurately and promptly using accounting software.
Coordinate payment information with the office bookkeeper.
Prepare and make bank deposits.
Assist with monthly bank statement reconciliation.
Administrative Support
Prepare, edit, proofread, and format reports, correspondence, proposals, presentations, and other business documents.
Review documents for accuracy and completeness.
Maintain organized electronic and paper filing systems.
Provide administrative support to management and staff.
Assist with scheduling, coordination, special projects, and other office support activities.
Marketing Support
Assist with proposals, qualification packages, presentations, and marketing materials.
Maintain client and marketing databases.
Coordinate promotional materials and company literature.
Assist with website and social media updates.
Support client events, business development activities, and other marketing initiatives.
Qualifications
High school diploma or equivalent required; associate's or bachelor's degree
