Hours:  8 am to 5 pm, Monday - Friday

Pay Rate: $15 per hour

Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in Clinton, MS. The ideal candidate will provide comprehensive administrative support, ensuring efficient office operations while demonstrating strong digital literacy and a proactive approach to problem-solving. This role involves a variety of tasks, including managing communication, organizing documents, and supporting daily office activities.


Key Responsibilities:

  • Office Operations: Provide administrative support to ensure efficient office operations, including maintaining and improving both physical and digital filing systems.

  • Communication Management: Answer phone calls, direct callers to appropriate personnel, respond to emails, and assist clients and visitors with professionalism and courtesy.

  • Scheduling & Coordination: Assist with managing calendars for senior staff, including scheduling appointments, making travel arrangements, and coordinating meeting logistics such as room setup and catering.

  • Document Preparation: Draft and edit letters, reports, and other documents using word processing and presentation software, ensuring accuracy and clarity.

  • Data Management: Input and update information in databases and spreadsheets, maintaining accurate records and ensuring confidentiality.

  • Meeting Support: Prepare meeting agendas, take meeting minutes, and distribute them promptly, ensuring all relevant information is captured.

  • Office Equipment & Supplies: Operate and maintain office equipment, manage supply inventory, and work with vendors to ensure the office is well-equipped.

  • Research & Reporting: Conduct research as requested, analyze the reliability of information, and compile data for reports or presentations.

  • Collaboration: Work closely with other administrative staff, supporting colleagues as needed and demonstrating a proactive approach to problem-solving.

  • Confidentiality & Compliance: Handle sensitive information with discretion, ensuring compliance with privacy policies and regulations.

  • Deadline & Time Management: Manage multiple deadlines, prioritize tasks effectively, and adapt to changing priorities with flexibility.


Skills and Qualifications:

  • Digital Literacy: Proficiency with standard office platforms such as Microsoft Office 365, and the ability to analyze and manage data accurately.
  • Organizational Skills: Strong organizational skills, with attention to detail and accuracy in all tasks.
  • Communication: Excellent written and verbal communication skills.
  • Interpersonal Skills: Professional demeanor, courteous interaction with clients and colleagues, and the ability to handle tense situations calmly.
  • Time Management: Ability to multitask, manage time effectively, and work well under pressure.
  • Problem-Solving: Proactive approach to identifying and solving problems, with an eye for process improvement.
  • Adaptability: Willingness to learn new skills, cross-train for alternate responsibilities, and adapt to new challenges.
  • Independent & Collaborative Work: Ability to work both independently and as part of a team

  • Education, Experience, and Licensing Requirements:
  • High school diploma or equivalent, at minimum; associate’s degree or higher is a plus.
  • Previous administrative experience or tenure in an office setting is preferred.
